Privacy Policy

This notice explains how LogYou.App Accounts Solutions handles personal data under the UK GDPR and Data Protection Act 2018.

Last updated: 21 August 2026

Who we are

LogYou.App Accounts Solutions ("we", "us") is a cloud book keeping service operated by LogYou in the United Kingdom. For the account you create with us, we are the data controller. For the business records you enter — your customers, staff and suppliers — you are the controller and we act as your data processor.

Questions or requests: hello@logyou.co.uk.

What we collect

  • Account details: your name, email address, phone number and password (stored only as a secure hash).
  • Business and site details: registered and trading names, business type, director details, VAT number and registration status, addresses, business contact numbers and social accounts.
  • Accounting records you enter: income and expense entries, amounts, dates, categories, payment methods, notes and uploaded receipts or documents.
  • Staff records you create: name, username, contact email and phone, access PIN, role and permissions, and any payroll details you choose to add.
  • Billing data: subscription plan, status, renewal dates and payment references. Card details are handled by our payment provider and never reach our servers.
  • Technical data: sign-in timestamps, activity logs of key actions, device and browser information, and IP address for security purposes.

Why we use it and our lawful basis

  • To provide the service and your account — performance of a contract.
  • To take subscription payments and prevent fraud — contract and legitimate interests.
  • To send service emails such as verification, staff invites, PIN resets, trial reminders and billing notices — contract and legitimate interests.
  • To keep the service secure and diagnose faults — legitimate interests.
  • To meet legal, tax and accounting obligations — legal obligation.
  • For optional analytics cookies — consent, which you can withdraw at any time.

Who we share it with

We do not sell your data. We share it only with the processors that run the service: our cloud hosting and database provider, our email delivery provider, our payment provider for subscriptions, and the address lookup service used in setup forms. Each is bound by a data processing agreement. We may also disclose data where the law requires it.

Where your data is stored

Your account and accounting data are stored on servers within the UK or European Economic Area. Where a provider transfers data outside the UK, it is protected by the UK International Data Transfer Agreement or an adequacy decision.

How long we keep it

  • Account and business data: for as long as your account is open.
  • After you delete your account: removed from live systems immediately and from encrypted backups within 30 days.
  • Billing and tax records: retained for 6 years where UK tax law requires it.
  • Email delivery logs: retained for up to 12 months for troubleshooting.

Security

Access to your data is enforced at the database level by row-level security, so each account can only reach its own sites. Receipts are held in private storage that requires a signed, expiring link. Traffic is encrypted with HTTPS, and staff PINs and permissions are controlled by the site owner.

Your rights

You have the right to access, correct, delete, restrict or object to our use of your data, the right to data portability, and the right to withdraw consent for optional cookies.

You can download everything we hold and permanently delete your account yourself from your data & privacy settings, or email us and we will action it within one month.

If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Children

The service is for businesses and is not intended for anyone under 18.

Changes

If we make material changes to this notice we will tell you by email or in the app before they take effect.
